How to Set up Email in Outlook
- For Outlook 2018
- Open Microsoft Outlook 2018 >> select Tools >> click Account >> Select the + icon in the lower left corner.
- Input your username (For eg :- example@domain.com) >> Click on Continue.
- You will need to wait for Microsoft Outlook to detect your provider type or you can click Choose the Provider.
- Ensure your provider type is IMAP/POP.
- Enter your information into the email form. Then click Add Account.
- Choose Type as IMAP or POP as per your preference.
- Email Address: Enter your full email address (For eg :- example@domain.com)
- Username: Enter your full email address (For eg :- example@domain.com)
- Password: Enter Your email account's password.
- Incoming Server: You can use server's hostname or mail.domain.com (Replace domain.com with your domain name). Kindly contact your email service or hosting provider for the correct details.
- Select "Use SSL to connect" and choose Port 993 for IMAP or Port 995 for POP as per your preference.
- Outgoing Server: You can use server's hostname or mail.domain.com (Replace domain.com with your domain name). Kindly contact your email service or hosting provider for the correct details.
- Select "Use SSL to connect" and choose Port 465 or 587 as per your preference
- If you are choosing mail.domain.com as Incoming Server and Outgoing Server, you may receive a notification asking you to trust your certificate if your domain is using a self-signed certificate. You can simply select the option Always trust “certificate name” when connecting to “mail.domain.com” and click on the Continue button.
- The email account should now be added. Please note that it may take time if you have a large amount of email on your server.
- For Outlook 2016
- To set up a new email account, you will need to click the File tab and then click Add Account.
- If you want to modify the settings on an existing account already configured in Outlook, you will need to click on Account Settings >> click on Change settings for this account or set up more connections and follow the step to Modifying an Existing Account.
- To set up a New Email Account, you will need to select the option for Manual setup or additional server types >> click Next >> Select Email Account Type >> Select the option for POP or IMAP >> click Next.
- To Modifying an Existing Account, you will need to click on the account name >> click on the Change button and follow the steps To Configure General Settings.
To Configure General Settings, you will need to fill in the below details in General settings.
- Your Name : The name that you want it to appear in emails that you send
- Email address : Enter your full email address (For eg :- example@domain.com)
- Choose Account Type will be POP3 or IMAP as per your preference. If you want to keep email in across multiple devices (desktop, laptop, phones and tablets), IMAP generally is recommended.
- Incoming mail server : You can use server's hostname. Kindly contact your email service or hosting provider for the correct details.
- Outgoing mail server (SMTP) : You can use server's hostname. Kindly contact your email service or hosting provider for the correct details.
- User Name is your full email address (For eg :- example@domain.com)
- Password : The email account's password.
- Do check and ensure that the option "Require logon using Secure Password Authentication (SPA)" is not selected
- To Configure Ports and Encryption, click on Advanced settings and fill in the required details using the below details and click on the “OK” button
- To Configure Outgoing Server Settings, you will need to click the More Settings button >> select the Outgoing Server tab
- Select the option "My outgoing server (SMTP) requires authentication"
- Select the option "Use same settings as my incoming mail server"
- Do check and ensure that the option "Log on to incoming mail server before sending mail" is not selected.
- For Secure (SSL/TLS) IMAP Settings:-
- Choose Port 993 as Incoming server (IMAP)
- Select the option "This server requires an encrypted connection (SSL)"
- Choose Port 587 as Outgoing server (SMTP)
- Choose "TLS" or "STARTTLS" from the dropdown on the right side of the option "Use the following type of encrypted connection"
- For Secure (SSL/TLS) POP3 Settings:-
- Choose Port 995 as Incoming server (POP3)
- Select the option "This server requires an encrypted connection (SSL)"
- Choose Port 587 as Outgoing server (SMTP)
- Choose "TLS" or "STARTTLS" from the dropdown on the right side of the option "Use the following type of encrypted connection"

You can now click the Next button to make a connection to the server and test the configuration.
